Better design libraries for a growing design team

Project overview
Rebuilding a fragmented source of truth
HotSchedules is a software-as-a-service (SaaS) company that provides mobile and cloud-based tools for the restaurant, retail, and hospitality industries. As a designer on the team, I spearheaded the creation of a robust design library to replace an inconsistent, difficult-to-use Sketch master file.
Problem:
The existing “single source of truth” Sketch file lacked proper structure and consistency. This led to wasted time reorganizing files and fixing errors, inconsistent experiences across the HotSchedules platform, and inefficient design processes.
Solution:
The solution involved creating a comprehensive design library, featuring proper naming conventions, layout standards, and override symbol functionality. We also developed some documentation for component usage and established a governance process for future maintenance.


Audit and creation
Selecting and rebuilding priority components
We began by identifying the most frequently used and highest-priority components, then conducted a thorough audit to uncover inconsistencies in colors, typography, and other key design elements.
Component Creation
Using the Atomic Design framework, we built our design components from the ground up, starting with the most fundamental elements and progressing to more complex components.

Integration
Balancing version control and performance
We integrated our library with Abstract for version control, but we encountered performance issues. This led us to optimize our approach in the next step.
Library Refactoring
To address performance concerns, we split our master file into four specialized libraries: Master (components and foundational elements), Typography, Color and Icons.

Testing
Refining the libraries through team feedback
We also implemented a release strategy, gathering feedback from select designers to identify usability issues and gaps before full team rollout.
Library Management Implementation
We established a sustainable management process using Jira to track issues, requests, and enhancements, with regular grooming sessions to prioritize work.

Outcome
A more consistent and maintainable library system
While company changes prevented full realization of our goals, the project significantly improved design consistency and efficiency across the team. It established a systematic approach to design work and demonstrated adaptability in the face of technical challenges.
Key Takeaways
This project showcased my ability to lead a new and complex design initiative in a corporate environment. I implemented Atomic Design principles in a practical setting and optimized performance through strategic refactoring. The experience allowed me to establish new processes for system sustainability, address immediate needs with long-term vision, and adapt to evolving tools in a rapidly changing field.
